A DAY IN THE LIFE OF LALINI, GREYMOUSE 24/7 VIRTUAL ASSISTANT

Being a Virtual Assistant demands hard work and planning, without a doubt, as per Lalini.

Lalini started her first two years working in Greymouse as a Virtual Assistant on the night shift. She usually manages all her clients, does admin tasks, monitors emails and answer calls for them. She was then transferred to the dayshift where she had a dedicated client whom she enjoys working with. She is also the trainer for the 24/7 PA team and primary for 24/7 clients. She now has her hands full, handling different clients and task that includes:

– Admin tasks

– Email communication with clients

– Answering calls

– Logging tickets

– Inputting the Purchase Order in the system for delivery once it reaches the warehouse

– Adding new customers on client spreadsheet

– Taking payments

– Calendar management

– Booking available studios for clients

– Saving remittances and invoices on the assigned folder for payments and more

– Training the 24/7 PA team.

Not only is it vital to delivering the tasks on time, but it is also important to adhere to the client’s quality expectations. The 24/7 virtual assistants are all experienced and skilled to ensure clients that every job is completed with ultimate precision, as per Lalini.

“As a VA, I never get bored doing different tasks for different clients every day.” She shared that the job suits her well especially since she likes multitasking, too. “I always look forward to getting positive feedback from our clients and being able to do the tasks without fail for six years.

Lalini has always enjoyed doing her tasks. “Being given another task should not make you feel down. You should take it as an opportunity to learn a new skill. It’s not every day that people have the chance to learn a new skill. Do you know your online passion?” Lalini advised that you can work in so many different niches using different services and skills that you are good at through the VA journey. She said that we will definitely be able to figure out what our passion is, so don’t worry if you don’t know what fills your heart with joy yet.

In her spare time, Lalini loves making Tiktok videos and spending time with her family. She begins her daily work routine by doing her client tasks, communicating and attending meetings with the client and training. After taking her lunch, she gets back to work for more tasks. She would also grab a coffee as well then, receive and responds to her clients’ emails and calls. She also updates to-dos for the following day before doing the handover to the next VA. Then she signs off for the day.

Lalini is very optimistic. She believes that being able to think outside the box— being responsible and having the right attitude are some of the important characteristics you would need at work. Active listening, quick thinking and teamwork are also vital for someone in her field. She shares with us that getting the right information, having a backup plan or discussing with the team leader is always important before making a decision.

Lalini shared that being in the industry of outsourcing, customer satisfaction is taken as the prime concern. Despite displaying strong skills and performing assigned tasks, virtual assistants expect

honest feedback on the work done. Call it a part of their day, but virtual assistants spend a significant chunk of time working on the feedback. Although, it certainly helps in improving the quality of deliverables.

“I know that there will be times when I’ll have to put in extra hours, and that would be true of any job. But with good planning and organization, I hope to be able to mitigate that as much as possible” Lalini added. “I set my daily goals, jot down the list of things I have to do for the day and check if it was done at the end of my shift.” She is very self-motivated and energetic.

Lalini believes her work experience is more valuable since it is what provides her with new learnings. “Believe in yourself and persevere; don’t let anyone or anything get into your head. You are rocking it!”

She hopes to see Greymouse thriving even more in the future by gaining more clients and having more offices in Fiji. “I would love to grow and hone my skills in Greymouse.” She said, ending the interview with yet another charming smile.
